Microsoft 365 is not covered by Microsoft: why M365 backup is not optional

A widely held misconception is that data stored in Microsoft 365 is automatically backed up and recoverable. It is not.

Microsoft operates under a shared responsibility model. Microsoft is responsible for the infrastructure and availability of the M365 service. You are responsible for your data within that service. Microsoft’s own documentation states that it is the customer’s responsibility to protect data against accidental deletion, malicious deletion, ransomware, and other threats.

M365 data loss scenarios are common
The most frequent causes of M365 data loss are not Microsoft infrastructure failures — they are user-driven events: accidental deletion of emails or files, accidental overwriting of SharePoint content, malicious deletion by a departing employee, and ransomware that encrypts files synced via OneDrive.

Microsoft’s native retention policies have significant limitations. The recycle bin holds deleted items for 93 days in many configurations. After that, they are gone permanently. Retention policies are designed for compliance, not recovery — they are not a substitute for backup.
